JOB SUMMARY:

The Stock & Rewards Plan Administrator plays a key role in the effective operation of Novocure’s equity and rewards programs. This position focuses on enhancing internal processes and improving the employee experience, while administering equity and rewards programs to help attract and retain top talent. Success in this role requires strong data analysis, system expertise, problem-solving skills, attention to detail, and effective project management and interpersonal skills. The Stock & Rewards Administrator reports directly to the Equity Plan and Total Rewards Manager.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Equity Plan Administration:

  • Oversee all aspects of equity compensation, including ESPP, grants, exercises, and cancellations.
  • Reconcile equity transactions, including terminations, tax withholding, and share counts, ensuring data accuracy across payroll, legal, and finance teams.
  • Manage system updates, payroll distribution, communications, audits, and inquiries, serving as the primary point of contact with Morgan Stanley and transfer agent.
  • Generate timely, accurate reports on equity transactions for internal stakeholders, tailoring reports to meet departmental needs and providing support for equity-related queries.
  • Keep an updated record of available shares in the equity plan, ensuring that the summary of shares available for future grants is accurate and reflects any outstanding or vested awards.
  • Collaborate with HR and the legal team to ensure proper allocation and compliance with the company’s equity policies.
  • Collaborate with stakeholders to enhance and document equity-related procedures, policies, and controls, ensuring alignment with best practices and compliance.
  • Partner with the administrative service provider (e.g., Morgan Stanley) to deliver educational programs and communications that help employees understand the value and mechanics of their equity awards.
  • Collaborate with Legal to manage insider trading blackout windows and ensure Section 16 officers and directors comply with trading restrictions. Maintain accurate records in the equity system and file Forms 3, 4, and 5 on time to meet SEC reporting requirements and avoid penalties.
  • Ensure compliance with Sarbanes-Oxley (SOX) regulations and internal policies in equity program administration, monitoring internal controls and supporting SOX testing and documentation.
  • Assist with audit requests from internal and external auditors, providing necessary documentation and explanations.
  • Handle ad-hoc projects, including data analysis, process improvements, and reporting support to enhance the equity team’s effectiveness.

Reward Plan Administration:

  • Contribute to and/or lead projects to design and implement reward and recognition programs. Provide administrative support, including reporting, tracking, and reconciliations as needed.

Additional responsibilities

  • Ad hoc projects to support the total rewards team

 

QUALIFICATIONS/KNOWLEDGE:

Experience, Knowledge, Skills, Abilities and Qualifications:

  • Bachelor’s Degree required
  • 5+ years stock plan administration experience required
  • Certified Equity Professional (CEP) preferred
  • Familiarity with HRIS systems (Shareworks, Success Factors, Smartsheet) and employee engagement platforms strongly preferred
  • Solid attention to detail and accuracy
  • Strong data analysis and problem-solving skills
  • Ability to multitask and meet deadlines in fast paced, global environment
  • Ability to plan and complete work with high level of autonomy
  • Experience working with vendor systems, interface files and databases
  • Convey strong customer service focus to internal and external partners
