Human Resources Specialist EMEA
The HR Specialist EMEA provides administrative support to the HR EMEA team and is responsible for all entries, exits and changes including maintaining the HRIS system. Furthermore, the HR Specialist EMEA supports the onboarding process, the administration of the time tracking system, the collection of audit documents and supports the HR EMEA teams as well as the employees in all administrative questions.
Your responsibilities:
• Responsible for inputting, changing and maintaining data in the HRIS system (Successfactors)
• Collaborate with Global HRIS& HR Specialists to change data, features etc.
• Prepare contractual documents and HR documents (contracts, amendments, agreements, awards etc.)
• Responsible for HR administration in the entry, exit and change process (checklists, e-mails to Line Managers, IT Forms etc.) including coordination with the IT department
• Coordination of onboarding activities (e.g. organize set up of all systems) and off boarding activities (e.g. make sure all accounts are closed in time)
• May organize and conduct the monthly onboarding session
• Support employees, new joiners and line managers with administrative questions
• Works closely with the HRBPs EMEA team
• Administration and set up of time tracking system (TimeTac) in collaboration with other HR Specialists EMEA and creating reports
• Maintenance and archiving of the employee records (soft and hard copies)
• Support in collecting documents for audits and supports the audit sessions in background (SOX, ordinary audit, TUEV)
• Support in the yearly performance management and compensation process (tracking, creation of lists and letters, testing)
• Projects in alignment with the objectives and Head of HR Operations EMEA
• Responsible to obtain the A1 certificates for all EMEA countries
• Providing general administrative support to HR team (e.g. event/training organization, prepare presentations, report and templates)
• Responsible for the distribution of the HR EMEA mailbox
Your profile:
• Commercial apprenticeship or vocational training
• Excellent MS office knowledge
• 2-3 years of experience in HR administration in Switzerland
• Fluent in German
• Fluent in English
• Ability to handle confidential information with discretion
• Open minded and flexible
• Well organized, detail orientated and structured
• Eager to learn
