JOB SUMMARY:

 

We are seeking a highly organized and detail-oriented Office Administrator to support our teams in Wayne, PA. This role is pivotal in ensuring the smooth operation of daily office functions and will provide dedicated administrative support to the Human Resources, Talent Management, and Legal departments.

 

The ideal candidate is proactive, professional, and adept at managing multiple priorities in a fast-paced environment. Occasional overtime may be required to support events or meet critical deadlines.

 

This is a full-time, non-exempt position located in our Wayne, PA office reporting to the Head of Global Human Resources Projects and Initiatives. Occasional overtime may be required to support events or deadlines.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as the first point of contact for office visitors, incoming calls, and general inquiries, while maintaining a secure and welcoming environment.
  • Manage office supplies, equipment, and overall organization to ensure operational efficiency.
  • Coordinate meetings, luncheons, conference room bookings, catering, and company events (e.g., town halls, holiday celebrations).
  • Handle incoming and outgoing correspondence, including mail, packages, and electronic communications.
  • Provide calendar management and travel coordination for leadership team members as needed.
  • Perform occasional errands, including trips to UPS, USPS, and FedEx.
  • Collaborate with the facilities team on building-related matters.
  • Maintain and archive electronic contracts and related documents in accordance with company policies.
  • Ensure the reception area is tidy and professionally maintained.
  • Order and stock office and break room supplies.
  • Perform other duties as assigned.
  • Support HR specialists with administrative tasks as needed

 

 

QUALIFICATIONS/KNOWLEDGE:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Minimum of 2 years of administrative or office support experience, preferably in a corporate setting.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to manage multiple tasks and meet deadlines effectively.
  • Demonstrated discretion in handling confidential and sensitive information.

  • Ability to lift up to 20 pounds
