Travel & Expenses Specialist

Novocure is a global publicly-traded commercial-stage oncology company developing a profoundly different cancer treatment therapy called tumor treating fields (TTFields) for patients with solid tumors. Novocure Poland is our newest office in Europe and you will be part of a global business services team supporting multiple business functions including finance and payroll and located in Krakow. The global business services organization within Novocure Poland is critical to Novocure’s efforts to drive process efficiency, standardizations and drive greater business value as the company prepares for future growth.

To support our team in Krakow, Poland we are looking for a:

T&E Specialist

As the T&E Specialist, you will be part of the AP team and be responsible for processing and reconciling travel and expense reimbursements. You will serve as a Subject Matter Expert for the Concur system and provide support to employees to ensure a correct understanding of T&E policies.  Additionally, you will perform AP invoice processing and payment support as needed.

Your responsibilities:

• Timely review, process, and approve employee travel and expense claims, ensuring compliance with company policies and procedures.
• Ensure accurate categorization and allocation of expenses in SAP Concur.
• Respond to employee questions and troubleshoot issues promptly to ensure expense reports are timely processed for payment.
• Educate employees on travel and expense policies, providing necessary training and guidance.
• Managing and monitoring Concur user profiles including maintaining changes, additions, deactivations.
• Purchasing, corporate travel, and meeting card management and administration.
• Prepare documentation for internal and external audits.
• Identify opportunities for process improvements and assist in implementing changes to enhance efficiency.
• Ensure compliance with local and international financial regulations and standards.
• Timely process PO and non-PO invoices, ensuring accuracy and adherence to company policies and procedures.
• Participate in the month-end and year-end closing processes.

Your profile:

• University degree, preferably in Economics, Accounting, or Finance.
• Experience in a similar position within an international company is a plus
• Excellent written and verbal communication skills in English are a must as this is the primary working language. German or other European language a plus.
• Proficiency with MS Office (Outlook, Excel, Word).
• Experience with SAP Concur is an plus.
• Experience with SAP AP invoicing is an plus.
• Analytical and detail-oriented working style.
• Strong communication and interpersonal skills.
• Team player with a positive attitude, eagerness to learn, and enthusiasm.
