Purchasing Associate - Clinical Operations, Location: Cracow, hybrid (3 days office, 2 days home office). Full time role, permanent position (contract of employment)

At Novocure, every role contributes to extending the lives of people living with cancer.As a Purchasing Associate - Clinical Operations you will be directly responsible for managing clinical vendors and investigating site payments for Global Clinical Operations and  overall clinical payment activities including managing purchase orders, tracking payments, and resolving invoice and payment questions and issues. In this role, the Purchasing Associate - Clinical Operations you will need to interact effectively with vendors and investigative sites, along with Clinical Operation Project Teams, Finance, Legal, and Clinical Procurement to ensure alignment with and delivery of business objectives.

You will responsible for coordinating, optimizing, monitoring and ensuring compliance of the Purchasing Clinical Activities at Novocure ensuring that clinical purchasing and payment activities are executed in a timely, accurate, and compliant manner in alignment with contractual obligations, internal financial policies, and applicable regulatory requirements.

 

What You’ll Do

  • Perform end-to-end management of clinical vendor and investigate site payments for assigned studies, in accordance with Standard Operating Procedures (SOPs) and accepted accounting practices
  • Set up and update new site/vendor information and create purchase orders in applicable systems
  • Manage, process, and track site/vendor invoices and payments 
  • Understand global contract terms, budgets and payment schedules, ensuring that payments are aligned with the executed contracts
  • Review data from EDC and/or applicable systems as required to validate site/vendor invoices
  • Achieve high levels of customer satisfaction, process compliance and cost efficiency through excellence in Purchasing Clinical Operations Activities
  • Act as focal point of contact to resolve site/vendors invoice/payment questions and issues
  • Assist in the development of investigator payment forecasts 
  • Develop and distribute consolidated monthly payments reports detailing the status of paid/unpaid invoices on assigned studies 
  • Maintain regular communications with internal and external customers including providing status updates on payments 
  • Support month-end closing and reporting cycle 
  • Assist with departmental audit-related requests
  • Participate in payment-related special projects; support process improvements 

 

 

About You

To thrive in this role if you will need these essential qualifications:

 

  • Degree in Business (Finance/Accounting/Business Administration/Legal/)
  • About 2+ years relevant finance/accounting/legal/clinical/ business experience required 
  • Basic understanding of clinical trials and medical device development process
  • Experience in financial/payment processing systems/accounting software preferred, i.e. SAP/ARIBA and strong understanding of accounting/purchasing concepts 
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)   
  • Excellent organizational skills with strong attention to detail, precision, and accuracy 
  • Strong ability to manage and prioritize multiple tasks simultaneously, proactively problem-solve, and manage competing priorities and deadlines 
  • Excellent verbal and written communication skills, proficient English level
  • Strong interpersonal skills with the ability to communicate effectively and interact competently and professionally at all levels within a global cross-functional environment, while aware of cultural diversity 
  • Ability to work well in a team as well as independently with limited oversight; is self-motivated and results-driven 
  • Clinical research experience at a Sponsor or CRO preferred

What We Offer

The annual base salary ranges from 140 000-160 000 PLN gross per annum.

This pay range is the range of base pay compensation within which Novocure expects to pay for this role at the time of this posting. Individual compensation within this range depends on a variety of factors, including, but not limited to, prior education and experience, job-related knowledge and skills demonstrated.
