Operations Support Specialist I

 

Job Summary:

The Operations Support Specialist I is responsible for organizing and ensuring the integrity of incoming and outgoing documentation that supports all key department processes. This position will be responsible for collaborating with and supporting internal and external customers.

 

This is a full-time, non-exempt position reporting to the Supervisor, Operations Support and is based in Portsmouth, NH.

 

Essential Duties & Responsibilities:

  • Review Service Agreements
  • Perform error tracking and documentation
  • Complete Service Agreement renewals
  • Compile usage report and validate data set
  • Review and upload MRIs/CT scans and manage patient layout processes
  • Review and upload medical records and provide audit support
  • Coordinate incoming email, voicemails, faxes, and mail by uploading, tracking, and mapping files to patient records
  • Assist with document flow management, including scanning and filing, in a timely manner
  • Communicate with internal and external customers to ensure files are available and processed in a timely manner
  • Monitor incoming communications and coordinate with appropriate team members
  • Perform quality checks on uploaded records to ensure accuracy of information
  • Assist with other projects and team priorities as needed
  • Perform all other duties or priorities assigned by management as needed

 

Qualifications:

  • High School Diploma or equivalent experience
  • 0-2 years of experience in healthcare or in an administrative role
  • Familiarity with basic medical and insurance terminology preferred
  • Experience working with CRM and documentation management systems preferred
  • Familiarity with Microsoft Office and SAP preferred

  • Proven ability to achieve goals in a timely manner exercising good judgment, creative problem solving, and sound decision-making skills
  • Knowledge of HIPAA and other applicable regulations
  • Exceptional organization skills
  • Strong attention to detail
  • Strong verbal and written communication skills
