Customer Service & Logistics Coordinator, Location: Cracow, hybrid (3 days office, 2 days home office)

As our Customer Service and Logistics Coordinator, you’ll work closely with the Customer Service EMEA organization and the Global Transportation team. The role combines customer service activities with hands-on logistics coordination, shipment monitoring and trade-related documentation support.
In addition to processing customer orders and returns, the position focuses on proactive shipment monitoring, issue resolution with carriers, return transport coordination and customer dissatisfaction analysis. The role also supports trade compliance activities e.g. by preparing commercial and proforma invoices for international shipments based on input from internal stakeholders. The position contributes to high service quality, operational reliability and continuous improvement across customer service and logistics processes.
What You’ll Do
- Process customer orders, returns and exchanges accurately in the ERP system, ensuring data quality and timely execution
- Monitor shipments, proactively identify delays or exceptions, raise cases with carriers and communicate status updates
- Regularly update operational databases (e.g. clinical trial matrices) based on inputs from multiple internal stakeholders/sources
- Support claims handling with carriers (e.g. damage or loss of parcels), including documentation and follow-up
- Act as a key interface between Customer Service, Global Transportation, warehouses, carriers and Device Support Specialists to resolve operational issues
- Analyze customer dissatisfaction data in CRM systems, identify root causes and support the implementation of corrective and preventive actions
- Support trade compliance activities e.g. by preparing commercial and proforma invoices for international shipments based on information provided via ERP systems and by internal stakeholders
- Ensure shipment documentation is complete, accurate and compliant with internal procedures and applicable regulations
- Contribute to process improvements across customer service and logistics workflows
About You
To thrive in this role if you will need these essential qualifications:
- Previous experience in Customer Service, Order Management, or Logistics, preferably in an international or EMEA environment
- Good understanding of shipment processes, carrier coordination and return logistics
- Basic understanding of trade compliance concepts and shipping documentation (commercial/proforma invoices); hands-on experience is a plus
- Experience with ERP and/or CRM systems (SAP preferred) and Microsoft 365 core tools
- Strong communication skills in English (written and verbal); additional European languages are a plus
- Strong organizational skills, attention to detail and ability to manage multiple priorities
- Proactive, solution-oriented mindset with the ability to work independently and collaboratively

What We Offer
The annual base salary ranges from 96 000-120 000 PLN gross per annum.
This pay range is the range of base pay compensation within which Novocure expects to pay for this role at the time of this posting. Individual compensation within this range depends on a variety of factors, including, but not limited to, prior education and experience, job-related knowledge and skills demonstrated.
