JOB SUMMARY:

We are looking for a highly organized, proactive, and service-oriented Junior Coordinator/Intern to support our Patient Experience Learning & Development, Operations and Leadership Teams.

This is hybrid position that requires office presence 3 times per week. 

This role is designed for a recent graduate or final-year student seeking hands-on experience in an international healthcare environment. During the initial six-month trainee period, you will play a key role in ensuring that operational, administrative, and coordination activities run smoothly, allowing our teams to focus on strategic priorities and high-impact initiatives. Subject to performance and business needs, the trainee period may be extended for an additional six months.

You will become the administrative backbone of two highly collaborative teams, coordinating activities across multiple countries, stakeholders, and seniority levels.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinate training logistics, including scheduling, participant communication, venue sourcing, and event administration
  • Support meeting and event planning, including venue research, travel coordination, and supplier communication
  • Assist with purchase orders, invoice tracking, and general administrative processes
  • Maintain documentation, records, trackers, and filing systems
  • Support reporting activities and preparation of presentations and team materials
  • Help monitor team activities and contribute to dashboards and process improvements
  • Act as a reliable coordination point across stakeholders, functions, and locations

 

QUALIFICATIONS/KNOWLEDGE: 

  • Final-year student or recent graduate
  • Excellent English communication skills, both written and verbal; any additional language is advantageous
  • Strong organizational skills and attention to detail
  • Comfortable managing multiple tasks and deadlines
  • Proficiency in Microsoft Office tools, particularly Outlook, Excel, PowerPoint, and Teams
  • Positive, approachable, and professional attitude
  • Ability to work effectively with colleagues from different cultures, backgrounds, and seniority levels
  • Curiosity, initiative, and willingness to learn

Compensation

We offer a contract of mandate with a gross hourly rate of PLN 39.00, equivalent to a gross monthly remuneration of PLN 6,240.
