Clinical Payment Specialist
Temporary, 6-months contract of mandate, hybrid working model from Cracow office -Fabryczna Office Park.
JOB SUMMARY:
The Clinical Payment Specialist (CPS) is responsible for managing the end-to-end process of site invoicing and payments for clinical studies. Reporting to the Operational Excellence Lead – Clinical Trial Agreement, this role ensures timely, accurate, and compliant financial transactions with investigative sites in alignment with contractual obligations and study milestones.
CPS collaborates with Clinical Study Teams (CSTs), Finance, and external service providers (e.g., CROs) to resolve payment-related issues, maintain audit-ready documentation, and support continuous improvement in payment processes.
Responsibilities:
- Process site payments in accordance with executed Clinical Trial Agreements (CTAs), study milestones, and approved invoices.
- Review and validate payment requests from investigative sites to ensure accuracy and compliance with contract terms.
- Monitor payment schedules and ensure timely disbursement of funds to investigative sites.
- Collaborate with CSTs, Finance, and CROs to resolve payment discrepancies, delays, or site inquiries.
- Maintain accurate records of payment transactions and ensure audit readiness.
- Track and report on payment metrics, including timeliness, accuracy, and issue resolution.
- Support the development and maintenance of SOPs, guidance, and tools related to clinical site payments.
- Participate in continuous improvement initiatives to enhance payment processes and stakeholder satisfaction.
- Assist in training CSTs and CROs on payment procedures and documentation requirements.
- Ensure compliance with internal financial policies and external regulatory requirements.
About you:
- Bachelor’s degree in Finance, Business Administration, Life Sciences, or related field preferred.
- Minimum 2–4 years of experience in clinical finance, site payments, or clinical operations within the pharmaceutical, biotech, or CRO industry.
- Experience with clinical trial agreements and site payment processes.
- Strong attention to detail and organizational skills.
- Excellent communication and problem-solving abilities.
- Ability to manage multiple priorities and meet deadlines.
- Familiarity with regulatory requirements related to clinical trial payments.
- Experience working with CROs or external vendors
- Proficiency in financial systems and clinical trial platforms (e.g., CTMS, payment portals, Excel) would be an advantage.
